Associate Registrar

Ohio Wesleyan University (www.owu.edu) is a selective, private, undergraduate liberal arts, residential institution founded in 1842 and is located just 20 miles north of Columbus.

Position Overview:

The Associate Registrar provides a vital liaison role between the Office of the Registrar and the students at Ohio Wesleyan University. Responsibilities for the position include maintaining a degree audit system, ensuring graduates have met all degree requirements, reporting, assisting with preparations for commencement, providing back-up for other members of the team, and other duties as assigned.

Major Responsibilities:

  • Degree Audit
    • Program degree audit using the Powercampus, Sungard system
    • Update all degree audits with curriculum changes on an annual basis
    • Work directly with the faculty to make sure audits are correct and reflect the degree requirements for each major
    • Document approved course substitutions in the degree audit system
    • Ensure degree audits available to students are accurate and updated regularly
  • Senior Check-Outs
    • Meet with each first term junior and graduating senior to review graduation requirements and the student’s status
    • Follow up with those students who do not make an appointment for a senior check-out
    • Ensure all graduation requirements are met before issuing a diploma
    • Make sure the student’s name is spelled correctly on the diploma
  • Reporting
    • Supply reports on demand for:
      • Retention
      • Enrollment
      • Commencement and Graduation Rates and others as specified
    • Provide updates for the Commencement Committee and the Retention Committee
    • Work closely with the Associate Dean of Institutional Research
  • Commencement Preparation
    • Ensure all degree requirements have been met for each graduating senior
    • Work directly with faculty to receive approval each graduating student’s major degree requirements
    • Enforce 32 unit requirement for students planning to walk at Commencement but not graduate
    • Assist with accumulating all senior grades for final reporting
    • Order diplomas, check them for accuracy, and cross reference them with the Commencement Program
    • Work with the registrar on the Commencement Program
    • Inform students who did not meet the requirements for graduation
    • Calculate academic honors and be sure this information is reflected on the student’s diploma and academic record

Minimum Requirements:

A bachelor’s degree and Registrar’s Office or equivalent university experience required. The ideal candidate will be proficient with PC’s, detail oriented, and possess an aptitude for customer service. Excellent communication skills and a strong analytical capacity required. Experience with a degree audit system and familiarity with the inner workings of a registrar’s office is preferred. The ideal candidate will be self directed and able to perform these tasks with little to no supervision once fully trained.
